Acceptance report
An acceptance report is the document signed by the client that records delivery or completion of the works.
Explanation
In French it is the PV de réception. It is the proof the work was done. Without it, the invoice is open to dispute: the client can question delivery, quantity or quality when payment falls due. With it, the claim becomes hard to challenge. For a public client, a signed acceptance report is part of the file without which the invoice does not move.
A useful clause sets a deadline for written reservations: after that, the service is deemed accepted.
Example
Fictional example. A maintenance company has the client’s site manager sign a job sheet every month. Its 1,350,000 FCFA invoice comes with those sheets: the discussion is about the payment date, not about whether the service happened.
