In construction, money gets stuck in three places: progress statements waiting for approval, retention money nobody remembers to claim, and extra work done without a written order. A signed monthly statement, a release date recorded for each retention and no extra work without a priced written order solve most of it.

Where the money gets stuck in construction

For a service provider, money gets stuck when the service has no written proof, when the client complains about quality only when the invoice arrives, or when the invoice goes to the wrong department. A job sheet signed every month, a complaint window in the contract and the approver’s name recorded at signing change the picture.

Where the money gets stuck in b2b services

In trading, money gets stuck when client credit has no limit, when goods leave without a signed delivery note, and when a client who already owes places a new order. A written credit limit per client, retention of title and deliveries paused above the limit, without exception, protect your cash.

Where the money gets stuck in trading

In transport, money gets stuck when the signed waybill is lost between the driver and the office, when waiting or handling charges are disputed, and when monthly batch invoicing starts the payment clock too late. A photo sent the same day, a schedule of charges attached to the contract and invoicing every two weeks fix most of it.

Where the money gets stuck in transport and logistics

For an agency or a consultancy, money gets stuck when work starts without a deposit, when back-and-forth on deliverables never ends, and when the final instalment is held back “until satisfied”. A deposit before starting, a number of revisions written in the quote and a payment schedule by approved milestone solve most of it.

Where the money gets stuck in agencies and firms

You did the work. You’re still waiting for the money.

An SME can be profitable on paper and still run out of cash because its clients pay late. Salaries, suppliers and taxes don’t wait. It often starts inside your own company, in three precise places.

Leak 1 · The contract

The contract says nothing about payment terms, or what happens when they are missed.

Without a written date, there is no late payment. There’s just a client taking their time.

Leak 2 · Tracking

Nobody knows, on any given day, who owes how much and since when.

Invoices sit in a binder, payments on the bank statement, and the reconciliation lives in the owner’s head.

Leak 3 · Reminders

Reminders go out when someone remembers.

Your client knows it. They pay first the suppliers who follow up on fixed dates.

What late payment costs you, on top of the wait.

None of these costs appear on the invoice. All of them appear in your accounts.

  • The overdraft and its interest, to pay salaries your clients already owe you.
  • Your own suppliers paid late, and worse terms next time.
  • Orders turned down because cash can’t keep up.
  • Your evenings spent chasing payments instead of running the business.

Calculator

How much of your money is sleeping at your clients’?

Three figures are enough. A fourth shows what the delay costs if you cover it with an overdraft. Nothing is saved.

What your clients owe you, VAT included. From a pre-VAT figure, multiply by about 1.19.
Average of your last 20 paid invoices, weighted by amount.
If nothing is written, enter what you allow in practice.
How to measure your actual payment time
  1. Take your last 20 paid invoices.
  2. For each one, count the days between the invoice date and the date the money arrived.
  3. Weight by amount: a 6 M invoice counts more than a 300,000 one.
Actual time = Σ (amount × days) ÷ Σ amounts

Note the slowest clients as you go: that is usually where the money sleeps.

Move the slider: every day of delay absorbed raises the level. At most, your clients pay on the contract due date.
Cash tied up at your clients’
20,000,000 FCFA
Of which, due to late payment
10,000,000 FCFA
Cash freed if your clients pay 15 days sooner
5,000,000 FCFA
Overdraft interest saved per year with these 15 days
700,000 FCFA
Yearly cost of the whole delay if financed by overdraft
1,400,000 FCFA

3/15Averages hide the spread. 60 days on average can mean 12 clients paying at 30 days and 3 at 150. In that case, the lever is not “everyone pays sooner”: it is dealing with those 3 clients. The diagnostic identifies them.

Estimate based on your figures. Not a promised result. Nothing is saved.

Three workstreams. One number to bring down.

That number is your average payment time: the days between sending an invoice and the money landing in your account.

45d60 d

Figures from the calculator above. Change them and the gauge follows.

Average payment time. Your clients pay at 60 d; your contract says 30 d. Target with the three workstreams: 45 d.
  1. 01 · Before the order

    Solid contracts

A contract that protects your cash fits in a few clear clauses, written before the work starts, not on the day the client stops answering.

  2. 02 · Every week

    Tracking unpaid invoices

A table, updated every week, that answers one question: who owes how much, and since when? Excel is enough.

  3. 03 · On fixed dates

    Systematic reminders

Reminders stop depending on the mood of the day. They follow a calendar the client has known since signing.

Benchmark

In 2025, the Cameroonian State took more than 200 days to pay its suppliers.

Up from 120 days in 2023 and 160 days in 2024. When the largest client in the country pays this late, every company in the chain waits too: your clients pay you late because they are being paid late themselves. You can’t change their cash flow. You can change your place in their payment queue.

How do you calculate your average payment time?

Calculate your average payment time (DSO) in three minutes: the formula, a worked example in FCFA, and how to compare it with the terms in your contracts.

Cash flow · Q&A

What does late payment really cost an SME?

A client paying at 60 days instead of 30 ties up a month of revenue. The FCFA calculation, the overdraft cost and the hidden costs you never see on paper.

The questions I get asked.

Is the 45-minute diagnostic free?

Yes. The 45-minute diagnostic is free. You leave with an estimate of what late payment costs you, whether or not we work together afterwards.

My clients are large companies. I don’t want to upset them.

A reminder set out in the contract and sent on a fixed date is not aggressive. It shows your company is organised. The scripts are written to protect the relationship.

My client is the State or a public company. What changes?

Their payment chains are long and you don’t control them. What you do control: a complete file from the first submission, signed proof of delivery, and tracking that knows which stage each invoice is at. An incomplete file lengthens a delay that is already long.

What result can I expect?

I don’t promise a number. We measure your average payment time at the start, then every month. That number tells us whether the work is paying off.

How soon will I see an effect?

Weekly tracking and fixed-date reminders act on invoices already outstanding, from the first month. New contract terms act on new orders, so their effect builds up over the following months. The monthly measurement shows you both.

I’m not in Douala or Yaoundé. Can we still work together?

Yes. The diagnostic, the documents and the monthly follow-up work over WhatsApp and email, wherever your company is based.
